For student hostels
Who is in which room. Who has paid and who still owes. What is broken and who is fixing it. Instead of an exercise book, a WhatsApp group and the warden's memory, it is all on one screen that everyone works from.
No card needed. Call 0795 726 672.
A student stays the whole term part-paid, because no single list ever showed who was behind.
Someone moved rooms in week two and the invoice never followed them.
The same three questions — has my child paid, are they attending, what is this notice — all day.
None of it is dramatic. It is a hundred small gaps between what the warden knows, what the accountant has written down, and what the parent believes. At the end of term the numbers do not agree and nobody can say exactly where they parted ways.
Generate the term's invoices for every student in one go, record payments as they come in — cash, M-Pesa, Airtel Money, bank or cheque — and the outstanding balances report tells you exactly who to follow up, with the room and the guardian's number already attached.

The part wardens notice first
Invite a guardian and they can see their own child's fees, attendance and the hostel's notices — and nothing else. It is strictly read-only: a parent cannot change a record, and cannot see another family's child.
Most of the calls a warden takes are questions a parent could answer themselves in ten seconds.
Who is in which bed, how full each room is, and bookings for the intake ahead.
Daily attendance, and a visitor log so you know who came in and who signed them.
Emergency contacts, medical notes, hospital visits and disciplinary records, kept with the student.
Requests raised, assigned and closed, with comments, so nothing sits forgotten for a term.
What furniture each room holds, inspected periodically. Anything found damaged opens a maintenance request by itself.
Bedding, toiletries, cleaning and kitchen supplies, with reorder levels and a full movement history.
Salaries and allowances, NSSF and SHIF deductions, monthly payslip runs marked paid in bulk.
Plumbers, electricians and consultants paid outside payroll, with withholding tax worked out and a voucher generated.
Occupancy, fees collected, outstanding balances and expenses by category. All exportable.
The warden works with rooms, attendance and maintenance. The accountant works with invoices, payments and payroll. The director sees everything. Nobody has to be trusted with screens that are not theirs, which is what makes it safe to give staff their own logins instead of sharing one.
Record a fee payment the way it actually arrived, alongside cash, bank and cheque — not forced into one column.
Kenyan deductions are part of the payroll screen, not something bolted on afterwards.
WHT is worked out on each professional-service payment and the voucher comes out ready.
One rate, everything included — no modules to buy separately. Per active student, so an empty bed costs you nothing. For a hostel of 150, a month costs less than one student's fees for the term.

Minimum KES 4,000 a month. First 30 days free — put a real term in and see. Pay by M-Pesa monthly, or per term if that suits how your own fees come in. Pay for ten months up front and get the year.
We will set up your rooms, load your students and generate the first set of invoices with you. Tell us how many students you house and we will take it from there.
